1. Who we are

ClaimPulse is a B2B SaaS platform operated for South African FSP-licensed insurance brokers. References to "ClaimPulse", "we", "us", or "our" refer to the platform operator.

2. What data we collect

We collect data you provide directly when registering and using the platform:

  • Broker account details: practice name, FSP number, key individual name, email address, phone number
  • Client records: name, email, phone number. SA ID numbers are never stored in plaintext — only a one-way SHA-256 hash is stored
  • Complaint and claim records: descriptions, dates, status, resolution notes
  • Document uploads: PDFs, images, and Office files related to complaints or claims
  • Usage data: page views, feature usage, session duration (no third-party analytics at this stage)

3. How we use your data

  • Providing and improving the ClaimPulse service
  • Generating AI-drafted compliance documents (NFO letters, TCF reports) using your complaint records
  • Sending transactional emails and SLA alert notifications
  • Processing subscription payments via PayFast

4. Data sharing

We do not sell your data. We share data only with the processors required to operate the service:

  • Supabase — database and storage (EU West, Ireland)
  • Anthropic — AI processing for letter and report generation (data sent to Anthropic API is governed by Anthropic's data usage policy)
  • Resend — transactional email delivery
  • PayFast — subscription payment processing
  • Vercel — application hosting (US-based CDN)

5. Data retention

We retain complaint and claim records for 5 years as required by FSCA regulations. After 5 years, records are archived. Account data is retained while your subscription is active, plus 30 days after cancellation. You may request earlier deletion — see Section 7.

6. Data residency

Your data is stored on Supabase in the EU West (Ireland) region. South Africa does not yet have a local Supabase region. Ireland offers GDPR-equivalent protections. We will evaluate migration to a South African region when one becomes available.

7. Your rights under POPIA

Under the Protection of Personal Information Act (POPIA), you have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete your information (subject to our 5-year FSCA retention obligation)
  • Object to processing
  • Lodge a complaint with the Information Regulator
